Use Conditional Formatting to create Quick Graphical Presentations

How to use Excel's Conditional Formatting command to create visual data presentations using data bars, color scales, and icon sets.

Conditional Formatting in Excel allows users to create visual graphical presentations quickly and easily. It provides informative illustrations without building a full chart.

Data Bars

Step 1: Prepare your data and highlight the range you want to visualize.

Step 2: Click the Home tab on the ribbon and choose Conditional Formatting. Click Data Bars and choose a color. As you move your cursor over the options, you'll immediately see a preview of how the bars will look.

In addition to data bars, you can use:

  • Color Scales — applies a gradient of colors across the range based on value
  • Icon Sets — displays icons (arrows, flags, shapes) based on value thresholds

Example: Icon Sets for an Income Statement

The following steps show how to apply up/down arrows to an income statement to make year-over-year changes immediately visible.

Step 1: Highlight the data range you want to apply conditional formatting to.

Step 2: Choose Icon Sets under Conditional Formatting.

Step 3: Choose More Rules…

Step 4: Choose a desired Icon Style.

Step 5: Set the value rules for each icon. For example:

  • If the value is greater than 1% → green up arrow
  • If the value is between 1% and -1% → yellow even arrow
  • If the value is less than -1% → red down arrow

Step 6: Click OK to apply.

The result gives an at-a-glance view of which line items improved or declined, without requiring the reader to compare numbers manually.
